📁 What Are Folders in Instagantt?

Folders are used to organize projects inside a workbook. While workbooks store all your projects, folders help you structure them into meaningful groups.

Each project can belong to only one folder at a time. This means that if you want to move a project into a new folder, you must first remove it from the current one.

Folders do not duplicate projects—they only change how they are grouped and displayed inside your project management workspace.

⚙️ How Folders Work Inside a Workbook

Folders exist entirely inside a workbook and are used only for organization and visualization. They do not affect permissions, access, or ownership.

Important behavior to understand:

  • A project can only be inside one folder at a time
  • Moving a project between folders does not affect its data
  • Deleting a folder does not delete the projects inside it

This makes folders a safe and flexible way to reorganize your online Gantt chart projects without any risk of data loss.

🗂️ The “All Projects” Folder

Every workbook comes with one default folder named “All Projects”, located at the top of the projects list in the left sidebar.

This folder:

  • Loads every project in the workbook
  • Cannot be removed
  • Acts as the master combined view
  • Always shows your complete project portfolio in one place

It’s the fastest way to get a big-picture overview of everything happening in your workbook.

➕ How to Create and Reorder Folders

To create a new folder:

  1. Expand the left sidebar
  2. Click the + button
  3. Select the Folder tab
  4. Enter the folder name
  5. Use the toggle buttons to add projects
  6. Save your folder

New folders are created at the bottom of the list, but you can reorder them at any time. Simply hover over a folder, click the three parallel lines to the left of its name, and drag it into the desired position.

This makes it easy to keep your workspace organized exactly the way your team workflow requires.

🧩 How Combined Gantt Charts Work with Folders

Folders are not just for organization—they also power combined Gantt chart views.

When you click on a folder’s name:

  • All projects inside that folder load together
  • They appear in the same order as on the left sidebar
  • You get a single combined project timeline

This allows you to visualize dependencies, overlaps, and workload across multiple projects at once—one of the most powerful features for advanced project planning.

🚀 Benefits of Using Folders for Project Planning

Using folders unlocks major advantages for project managers, team leads, and planners, including:

  • Create combined Gantt charts for better timeline analysis
  • Organize projects by team, department, or client
  • Group projects by shared resources for smarter capacity planning
  • Monitor multiple initiatives in a single timeline view
  • Improve visibility across complex project management workflows
  • Reduce clutter in large workbooks
  • Speed up navigation and reporting

Folders turn your workbook into a structured project portfolio management system, instead of just a flat list of projects.
